Database Coordinator

Our new Database Coordinator will be responsible for the management of critical donor data contained in our digital donor database. He or she will also take the lead on managing all donation processing, gift acknowledgement letters, data entry, and other administrative functions.

Duties and Responsibilities Include:

  • Work closely with the Philanthropy Manager and Executive Director, providing timely and efficient support to ensure donor relations needs are met.
  • Manage donation process, including: oversee bi-weekly gift entry into database, transmitting payments and payment information, processing gift acknowledgment letters, tracking invoice pledges and other special gifts, and preparing deposits.
  • Keep data clean and updated by following set data entry protocols, expanding notes, removing duplicate records, tracking individual relationships, and running queries and exports.
  • Serve as the primary conduit to ESLT's bookkeeper for quarterly reconciliations.
  • Support the Philanthropy Manager by assisting with donor stewardship programs, including prospect research, data analysis, and special correspondence with targeted audiences.
  • Prepare and manage all mailing lists from donor database for fundraising, educational, and outreach needs.
  • Design and implement database queries and data exports to analyze giving trends and outcomes; work with the Philanthropy Manager to develop monthly status reports and recommendations.

Desired Skills and Qualifications:

Our ideal candidate has an analytical mindset and a keen eye for detail. He or she can handle multiple tasks under pressure without losing productivity or accuracy. This person is well-suited for a work environment that values teamwork, collaboration, relationship-building, and giving and receiving honest feedback. Specific skills include:

  • Knowledge of database structures, preferably Donor Perfect.
  • Proven aptitude in data analysis.
  • Ability to exercise considerable judgment and discretion in establishing and maintaining confidentiality.
  • Strong computer skills, including proficiency in Microsoft Word, Excel, Outlook, PowerPoint, Outlook, and Google's suite of apps.
  • Two years of previous experience in development or administrative capacity, preferably in a nonprofit organization.
  • Bachelor's degree from an accredited four-year college or equivalent experience preferred.

This position is part time, non-exempt and hourly at 15-20 hours per week, with the option of growth over time. Salary is commensurate with experience and skills ($15 - $20 per hour).
